1. Who we are

Tailored School is provided by Tailored Bytes. The platform helps schools manage academic setup, students, staff, attendance, finance, examinations, reports, and related school administration workflows.

2. Information we collect

2.1 Enquiry and onboarding information

When a school contacts us for a demo, pricing, onboarding, support, or general enquiries, we may collect school name, school type, location, contact person name, contact person role, phone number, email address, enrolment size, staff count, selected modules, preferred demo time, and messages submitted through our forms.

2.2 School management data

When a school uses Tailored School, the system may process operational school data such as student names, admission numbers, class information, subject information, teacher and staff accounts, attendance records, academic years, terms, examination records, results, fee records, invoices, payments, user roles, and access permissions.

2.3 Mobile app data

The Tailored School mobile app may collect and store information required for teacher mobile workflows, including school code or portal domain, teacher login details used for authentication, authentication tokens, teacher profile details, assigned classes, learner lists for assigned classes, attendance records marked by the teacher, offline attendance records waiting to sync, sync status, sync errors, last sync time, and a device identifier generated by the app for sync and duplicate prevention.

3. How we use information

We use information to:

• Respond to enquiries, demos, pricing, onboarding, and support requests.
• Configure and provide school portals.
• Authenticate users and protect user accounts.
• Show users information relevant to their school and role.
• Allow teachers to view assigned classes and learners.
• Allow teachers to mark attendance online or offline.
• Sync offline attendance records when internet connectivity returns.
• Maintain school records, reports, and student accounts where enabled.
• Improve reliability, security, support, and service quality.

4. Offline data and sync

The Tailored School mobile app can work offline for selected teacher workflows, such as attendance marking. When offline, attendance records are saved on the teacher’s device. When internet access returns, the app syncs those records to the Tailored School server.

If a record cannot be synced, the app may keep it locally until the issue is resolved. The app does not provide full offline access to all school management functions. Administrative setup, finance setup, invoice generation, payment approval, exam setup, reports, user management, and other high-risk workflows remain online-only.

5. Role-based access

Tailored School uses role-based access control. Users only access information and actions relevant to their role and school. For example, a teacher may access assigned classes and attendance workflows, while administrative users may access broader setup and management features through the web portal.

6. School-based data separation

Tailored School is a multi-school platform. Each school’s data is separated so that users can only access records belonging to their own school, subject to their assigned role and permissions.

7. How we protect information

We take reasonable technical and organisational steps to protect data, including:

• Secure login and authentication.
• Role-based access control.
• School-based data separation.
• HTTPS encryption during data transmission.
• Secure token storage on mobile devices where supported.
• Limiting offline access to necessary teacher workflows.
• Server-side validation before accepting synced mobile records.

8. Data sharing

We do not sell personal or school data. We may process or share data only where necessary to provide Tailored School, host and operate the platform, support schools using the system, comply with legal obligations, or work with trusted service providers who help us operate the service.

9. Data retention and deletion

School data is retained for as long as the school uses Tailored School or as required for support, legal, accounting, audit, security, or operational purposes.

A school may request correction, export, or deletion of its data by contacting Tailored Bytes. Some records may need to be retained where required for legitimate business, legal, audit, security, or operational reasons.

Mobile app users can remove locally stored app data by logging out, switching school, clearing app storage, or uninstalling the app. Unsynced attendance records may remain on the device until synced, cleared, or removed by the user.

10. Children and learner data

Tailored School may process learner information on behalf of schools. This information is used only for school management purposes, such as class lists, attendance, academic records, finance records where enabled, and related school administration.

Schools are responsible for ensuring they have the necessary authority, consent, or lawful basis to use Tailored School for learner records according to applicable laws and school policies.

11. User accounts

User accounts are created and managed by schools or authorised administrators. If a user or school wants an account disabled, corrected, or deleted, they should contact the school administrator or Tailored Bytes.

12. Mobile app permissions

The Tailored School mobile app may require internet access to log in, refresh school data, and sync attendance records. The app may also store selected data locally on the device to support offline attendance workflows. If additional permissions are introduced in future versions, this policy will be updated accordingly.

13. Updates to this policy

We may update this Privacy Policy when the platform, mobile app, legal requirements, or operational practices change. The latest version will be published on this page.
